At Auvitec, protecting your personal information is a priority. This policy explains what information we collect, why, who we share it with, how long we keep it and how to exercise your rights, in accordance with Quebec’s Act respecting the protection of personal information in the private sector.

2. Information we collect
- “Contact us” form: name, email, phone (optional), event type (optional) and your message. The message is emailed to us; it is not stored on the site.
- In store, when renting: ID (such as a driver’s licence) and payment information, as set out in the rental agreement.
- Technical data: our web host automatically logs IP addresses, browser type and pages visited, for security and to keep the site running. To limit repeated contact form messages, the site also keeps an encrypted fingerprint of the IP address (not the address itself) for 10 minutes.
3. Why we use it
- To answer your messages and quote requests.
- To prepare, confirm and manage your rentals and billing.
- To verify your identity and prevent fraud.
- To keep the site secure and working.
- To send you offers, only if you have agreed to it.
We only collect the information needed for these purposes, with your consent. You can withdraw your consent at any time by writing to us (section 1).
4. Who we share it with
We do not sell or rent your personal information. It may only be shared:
- with our service providers, who process it on our behalf: website hosting, our email delivery service, Cloudflare Turnstile (which checks that the contact form is sent by a person and not a robot, using technical browser data such as the IP address, without access to the message) and Rentman, our rental management software. Some of these providers may store information outside Quebec; we assess these transfers and require adequate protection;
- when required by law, or to protect our rights;
- as part of a merger, acquisition or sale of assets, under the rules set out in the law.
5. How long we keep it
We keep your information only as long as needed for the purposes above or as required by law (for example, accounting records). Quote requests that don’t lead to a rental are destroyed or anonymized once they are no longer needed. Contact form messages stay in our mailbox while we handle your request.
6. Security
We take reasonable measures to protect your information against unauthorized access, use or disclosure: encrypted connection (HTTPS), access limited to people who need it, and providers chosen for their security measures. No system is perfectly secure, so we cannot guarantee absolute protection.
If a confidentiality incident presents a risk of serious injury, we notify the Commission d’accès à l’information and the people concerned, and we keep a register of such incidents.
7. Your rights
- Access your personal information and get a copy.
- Have it corrected if it is inaccurate, incomplete or ambiguous.
- Receive your information in a structured, commonly used technological format (portability).
- Withdraw your consent or ask us to delete your information, subject to our legal obligations.

8. Cookies
Our site only uses cookies it needs to work: your chosen language and, for our staff, the admin login. We use no analytics or advertising cookies. You can block cookies in your browser.
9. Minors
Our services are not intended for people under 18. We do not knowingly collect personal information from minors.
10. Changes
We may update this policy. The current version is always published on this page, with its update date.
